Inclusion, Diversity & Accessibility Policy.
Updated: 1st September 2025
At Brainwaves & Blueprints Ltd, we believe that inclusion, diversity, and accessibility are not optional extras. They are the foundation of how we run our events, deliver our programmes, and create spaces for clients and communities. We are committed to meeting our legal obligations under the Equality Act 2010 and to going further, ensuring our values are lived out in every interaction. This policy applies across all Brainwaves & Blueprints Ltd activities, including in-person events, virtual events, online communities (e.g. Zoom, Slack, WhatsApp, Facebook, Telegram), and 1:1 or group client work.
Our Mission
At Brainwaves & Blueprints Ltd, we believe business should be a place where every individual feels safe to show up fully as themselves. Our mission is to create spaces, whether in person, online, or one-to-one, where people are respected, supported, and celebrated for who they are.
Our Values
We hold ourselves accountable to:
Respect: Everyone deserves dignity and consideration, regardless of background or identity.
Equity: We actively remove barriers so people can participate on equal footing.
Representation: We seek out and honour diverse voices and perspectives, recognising this is a journey we continue to build on.
Safety: Our spaces are safeguarded from exploitation, harassment, or discrimination, with a zero-tolerance approach to harmful behaviour.
Collaboration: Building inclusive spaces together, through listening, learning, and taking action.
1. Inclusion
We are committed to fostering communities where everyone feels welcomed, respected, and valued, to be able to participate fully. Together, we will nurture environments that encourage connection, understanding, and growth.
Respect and dignity: Everyone has the right to participate without fear of discrimination, harassment, or exclusion.
Community conduct and behaviour standards: We operate a zero-tolerance approach to harassment or discriminatory behaviour. This includes offensive comments, intimidation, unwelcome conduct, or behaviour that undermines the safety of others. Breaches may result in removal from an event or space without refund, and where necessary, further action.
Client and community spaces: All of our online and in-person spaces are moderated. Different spaces may have additional guidelines tailored to their purpose. While group-specific rules may vary depending on purpose (e.g. a Facebook group vs. a client WhatsApp thread, or at an in-person event), our baseline expectation remains: respectful, kind interaction at all times.
Reporting concerns: We take concerns seriously. If you experience or witness behaviour which contravenes this policy, please report it to us in confidence directly to the named event organiser or via email, [email protected]. Reports will be treated confidentially and addressed promptly.
2. Diversity
We actively celebrate the diversity and richness of different backgrounds, experiences, and perspectives of the people we work with and seek to reflect this across all areas of our business.
Representation matters: We are mindful of representation across our speakers, collaborators, and client-facing content. We value diversity in neurodivergence, gender identity, race, disability, LGBTQ+ identity, class, and lived experience. We continue to expand our networks to make sure our events reflect the communities we serve.
Inclusive practice: We respect pronoun use and encourage language which reflects the identities of those we work with. While pronoun sharing is a personal choice, respecting chosen pronouns is a requirement in our spaces. Inclusivity is not a tick-box for us. It is the whole approach. We may not get it perfect every time, but we work hard, listen, and take action to improve with every event.
Equal opportunities: All decisions are made fairly, without bias or prejudice across all our services and events, whether in recruitment, collaborations, or client relationships.
Continuous improvement: We review our practices regularly, listen to feedback, and commit to making changes where needed.
Shared responsibility: Our team members and subcontractors are expected to uphold the same values of dignity, inclusivity, and respect.
3. Accessibility
Accessibility is essential to true inclusion. We want everyone to be able to engage fully with our events, programmes, and services, both in-person and online.
In-person events
We only work with venues that have robust accessibility policies in place and meet UK legal requirements.
We endeavour to include where possible: step-free access, accessible toilets, gender-neutral facilities, designated quiet/sensory spaces, hearing loops, and carers’ tickets.
Attendee questionnaires are provided before in-person events so accessibility, dietary requirements and any other challenges attendees may experience, can be identified and supported.
Virtual events and online community spaces
Captions/live transcription are available in group sessions, and can be provided for 1:1 sessions upon request.
Alternative formats for resources (e.g. PDFs, transcripts, captioned replays) are offered where possible.
We take a proactive approach to online accessibility, including choice of platforms, clear communication, and respecting diverse communication needs.
All online spaces are moderated to ensure they remain safe and respectful.
Commitment
Brainwaves & Blueprints Ltd is committed to creating safe, inclusive, and accessible spaces where everyone can participate fully. We recognise that this work is ongoing, and while we may not always get it perfect, we will listen, learn, and adapt.
Inclusion, diversity, and accessibility are everyone’s responsibility, from our directors and team members to subcontractors and collaborators. Together, we will foster environments that are respectful, empowering, and safe for all.
This policy is not a static document. It is a reflection of our ongoing promise to build spaces where people feel they belong. We may not always get it right, but we are committed to listening, learning, and improving.
If you have accessibility requirements, feedback, or concerns, please contact us directly. Together, we can create spaces where every individual feels respected, supported, and able to contribute.
